Meet Invitations and your Swimmer Portal

All swimmers in Bronze, Silver, Gold, Age Group and Senior should have received email invitations to attend the next two swim meets in April (Welcome to Long Course-NKB, ROCS Distance and Pentathlon-Carleton U). Below are some tips on how to deal with these invitations.

If you have not yet registered your swimmer on the Online Meet Registration system, you will not have received these email invitations and we cannot enter your swimmer. Please follow these instructions to Register the first time and then carry on with the Tips below.

Instructions to Register the first time:  
  • Go to to the registration site: Registration for OME.  
  • Select "Register Now" 
  • Complete the registration form (Choose Participant, Select Group, Complete Form) 
  • You can also register another member of this family in the same order When you are in the "Check-Out" screen, on the top right sideof the registration form, click "Add Another Registration"
  • Check out and complete the order (you will not be charged anything for our situation)
Tips for using the Online Meet Entry System

1. Please go in to your swimmer portal https://swimportal.active.com (the link in the email may not work directly, so you may have to copy and paste it into your browser).
Suggestion: you should bookmark this link, as it allows you to go to your swimmer portal any time. If you miss the email invitation you can still go to your portal and sign up for the meet.

2. Please go in to your swimmer portal even if you are not planning to attend. If you are not planning to attend then select "Not Attending" (green arrow below). This helps Rod manage the meet entries and know that he is not missing someone.

3. In your portal, go to "View Meets" to get a listing of the upcoming meets that you need to respond to. Then click on the + sign beside your swimmer's name (blue arrow below). In that listing you can see the meet entry deadline (red arrow below) In this case it means that you must respond by March 30th. Also you can select which days you plan to attend (purple arrow below). You cannot select the actual events as this is done by the coaches.

4. You will see "Athlete Surcharge" listed (orange arrow below). This is the total surcharge that you will be charged on top of the individual event fees if you are attending ALL days of the meet. If you are only attending one day of a two day meet, you will only pay 1/2 of the surcharge listed here. This surcharge is added to the event fees because we need to cover the other expenses we have for the meet (eg. coaches travel, rooms, meals). We only aim to break even on swim meets and have determined the surcharges we use, based on the past few years.

5. Once you have stated that you are Attending or Not Attending the meet, you can Edit your selection up until the meet entry deadline. There will be an "Edit" button when you go to the  + sign beside your swimmer's name (blue arrow below).

6. In your portal you may see a meet listed that you have not yet been invited to. This is because the meet is not yet opened up for entries. For example, right now you will see the April Long Course Meet at GO Kingfish listed but you will not be able to sign up for it until the meet entry period opens on March 21,2015.
